Specific Responsibilities: The following responsibilities are expected of this position:
1. Manage correspondence, phone calls, and emails. Ensure efficient document management, filing, and archiving systems are in place.
2. Assist Project Surveyors and New Gloucester Office Manager with invoicing.
3. Provide administrative support to project teams by preparing and distributing project-related documents, contracts and reports. Assist in project coordination and scheduling.
4. Assist New Gloucester Office Manager with Human Resources Support, such as new employee orientation and benefits administration.
5. Respond to client inquiries, schedule appointments, and maintain positive relationships with clients through effective communication and exceptional customer service.
6. Collaborate with engineers, surveyors, technicians, and other professionals to facilitate efficient project workflows. Ensure project deadlines are met and assist in coordinating team meetings.
7. Manage office supplies, equipment maintenance, and vendor relationships. Coordinate IT support and troubleshoot basic technical issues.
8. Organize Department meetings and training sessions. Assist in planning and executing workshops and seminars.
